Viewing your Audit
How do I read the degree audit?
The audit has several sections:
Student Information: This is information about your program, major, advisor, catalog year, COCC g.p.a. and other academic information.
Program Block: Each program is displayed in a block that shows the requirements and the courses already taken or courses needed to fulfill the requirements.
Health Requirement: Some programs have a separate Health Requirement block. Meeting the requirements in this block will fulfill your health requirement.
Not Applied to this Audit, Insufficient, or In Progress sections: These sections show classes that were not required for your certificate/degree, were insufficient, repeated, or are currently in progress.
Why are some courses not being applied to my degree requirements?
Courses listed in the Not Applied to this Audit or Insufficient sections do not meet the program requirements. The course may not be needed, may not meet minimum grade requirements, or may be a course that has been repeated.
Please talk to your advisor if you have questions about why a particular course is not being applied to your degree requirements.
I had to take a developmental or prerequisite course for my program. Why isn't the course applying to my certificate/degree requirement?
Some courses are pre-requisites to other courses, or are required for program entry or to demonstrate competencies prior to taking program courses, but are not part of the program degree requirements. These courses will be listed under Not Applied to this Audit. Please talk to your advisor if you have questions about why a particular course is not being applied to your degree requirements.
Can I see a list of the classes that I have taken?
Yes. On the Audit tab, click on the More button (three vertical dots) near the top right of the screen, then click Class History, to see courses taken at COCC, as well as courses that you have transferred in from other colleges.
How do I print a copy of my audit?
On the Audit tab, click on the Print icon at the top right of the screen.
My transfer coursework is not in GradTracks. Will it still count toward my requirements?
If you transferred coursework to COCC from another college prior to Fall 2011, your transfer courses were articulated in bulk toward your certificate/degree. If you have not changed your certificate/degree, you can continue to use the original transfer evaluation. The courses will be automatically be applied to your certificate/degree at the time of graduation.
I have submitted transcripts to COCC. Why are my credits missing from GradTracks?
Students admitted prior to Fall 2011 may not have had their transfer work articulated for GradTracks. Please submit a Request for Articulation in the Admissions & Records office in Boyle Education Center. It can take anywhere between six weeks to several months to process an articulation. An Email will be sent to your COCC Email address when your transfer coursework is available in GradTracks.
I have requested an articulation of my transcripts. When will that be available in GradTracks?
Articulations can take anywhere between six weeks to several months to process, depending on the time of year. An Email will be sent to your COCC Email address when your transfer coursework is available in GradTracks.
Catalog Year and Major
What is a Catalog Year? How or when does it get changed?
Catalog Year is the academic year of the requirements displayed in your audit. The Catalog Year defaults to the earliest year you can use (the year you were admitted, up to three years old), but you can change it to a more current year if your certificate/degree requirements change and you prefer to use the newer requirements.
You should consult with your advisor before changing your Catalog Year. You can request a change by contacting Admissions & Records in the Boyle Education Center in Bend, or call (541) 383-7500.
My Program/Major in GradTracks is incorrect. How do I get it changed?
Contact Admissions & Records in the Boyle Education Center in Bend, or call (541) 383-7500.
If I use the "What-If" feature, does this mean I have changed my major?
No. The "What-If" feature is simply a way for you to see how your current coursework fits the requirements of other certificates/degrees.
Do I automatically graduate if everything is completed in my audit?
Once all requirements have been met in your declared program of study as shown in GradTracks, you will automatically be awarded your certificate or degree. No application is necessary. However, if you wish to be awarded a certificate or degree that you have not declared, then an application for certificate/degree must be submitted. You may find more information regarding automatic degree awarding here.
I recently applied for my certificate/degree. Will my application information show up in GradTracks?
No. GradTracks does not show the status of your certificate/degree application. You will be notified via your COCC Email when your certificate/degree application is processed.
