Work-Study Orientation part 3 - Pay Periods

In order to ensure that work-study students receive their pay checks on time, timesheets must be submitted to supervisors on the last day of the month.  The supervisors will approve and submit the timesheets to the Payroll Department for processing. If timesheets are not submitted to the Payroll Department by the payroll deadline, pay checks may be delayed.  Students who work OFF CAMPUS must submit copies directly to their off-campus supervisors at their job sites for approval and signatures.

Falsification of a time sheet by a student is a serious offense. The consequences are:

  • Immediate removal from the Federal Work-Study Program.
  • The remaining amount of Federal Work-Study awarded may be canceled.
  • A termination notice will be placed in the student's file indicating the reason for removal.
  • The matter will be referred to Student Affairs for appropriate disciplinary action.
    Payroll will be notified of the correct hours worked.
  • Prior to being allowed to return to the Federal Work-Study Program, a written petition, requesting permission to return, must be submitted to the Work-Study Coordinator.
  • If approval is granted to return to the Federal Work-Study Program, the current employer is not required to rehire the student.

Change of Address
There are two ways students may change their address:  Notify a staff member in Enrollment Services Department or go online through your Bobcat Web Account. Changing your address either way automatically updates it for all departments within the school.  It is important to have a current address to which the College can mail your paycheck if you do not choose to pick it up.

Taxes
Work-Study earnings are taxable by both state and federal governments.  The Payroll Department will mail  W-2 forms to students at the end of January for all wages earned in the prior calendar year.

Pay Advances
COCC does not issue any pay advances.  No hours should be reported for a student before the work is performed.
